This notice applies to shantimindflow.com and to current and future ShantiMindflow websites, subdomains, and education products (including NYX, EEG, Gesture, and Motion). Clicking Agree, creating an invited account, signing in, or sending a message on this site means you accept this notice and the Terms of Use.

1. Who this site is for
The public website is for institutions and adults: schools, sports academies, interactive venues, community organizations, educators, and guardians who decide whether to deploy a system. It is not a product for children to operate on their own. When software is used with children or adolescents, the institution and supervising adults are responsible for that use.
2. What we process
On the public site we may process information you choose to send (name, email, organisation, message) and limited technical data needed to run and protect the service (such as IP address, browser type, and time of access). The website assistant may process text, short audio, and transcripts so we can reply. Please do not send a child’s name, school ID, health records, or other sensitive information through public forms or the assistant.
In a deployed education product, session data (for example motion, AAC interaction, or attention-training signals) is handled to provide the modules the institution enabled. By design, identifiable session data is kept inside the institution’s boundary unless a written agreement says otherwise. The institution is the party that decides what is collected on site and how families are informed.
3. Why
We use this information to reply to enquiries, operate invited accounts and products, keep the service secure, and meet legal duties. We do not sell personal information. We do not use the public site to diagnose, treat, or provide medical advice.
4. Service providers and location
We use vendors as needed to host the website, send mail, and run optional AI features. Those vendors may process information in Canada, the United States, China, or other countries. Quebec law requires us to tell you that some information may be handled outside Quebec. If an institution needs a private or local-host setup, that must be agreed in writing—it is not the default for the public website.
5. Cookies
We use cookies that are needed to remember that you agreed to these terms, and (on product sites) to keep an invited session signed in. Language preference is stored in the browser. We do not currently run advertising or analytics tracking cookies. You can control cookies in your browser; blocking the consent or login cookie will hide agreement or sign you out.
6. Your requests
To access, correct, or delete personal information we hold about you, or to withdraw consent where the law allows, email info@shantimindflow.com. We may need to verify who is asking. Requests about a child’s data in a school or venue deployment should go first to that institution. We keep information only as long as needed for the purpose above, a related contract or dispute, or the law.
